How to Use the Online Volunteer System

We are now able to collect your volunteer preferences online. This will be a much more efficient way for our volunteer coordinators to keep track of your information. There is a different online form for each school. After you fill out one form you will have the option of filling out additional forms depending on how many children you have.

Each year a new form needs to be filled out.  Even if you filled out one last year, we still need a new one this year. Thanks for your help!

How to Use the Online Volunteer System:

  1. Select an Online Volunteer FormsSelect the school that you wish to volunteer from the list below, after reviewing the following steps.
  2. Introduction Screen – Prior to signing into the system, you will be notified that the program is restricted to anyone under age 18 .  Click “Continue.”
  3. Sign In Screen – To continue with the registration process,  you’ll first need to sign in.After entering your email and password, click “Submit.”
    ☞  New Users – Enter your email address and your password will be emailed to you.
    ☞  Returning User – Sign in with your email address and password from last year.
    ☞  Forgot your Password? – Enter your EMAIL ONLY and your password will be emailed to that address.
    ☞  Have a New Email Address? – Login with your old email address and in step #4 you will have the chance to update your email address.
  4. Family Member Screen – In order to proceed with registration, click the button to the left of  YOUR name.  You will then need to fill in supplemental information for registration.
    ☞  New User - Please enter your full contact information and click “Submit.”
    ☞  Returning User - Click “Edit” next to YOUR name (not your child’s name.)  Your contact information from last year will appear (see step #4 below.)
  5. Participant Selection Screen – This screen provides a chance to enter or update your information.  The Children’s Online Privacy Protection Act (COPPA), requires that we ask for your birth date. The system also uses the birth date to ensure that any financial transactions are conducted by persons of age 18 or older. Please confirm that all of the information provided is correct, then click “Submit.”
  6. Volunteer Form – The volunteer form for the school that you selected will appear.  Please provide all of the necessary information needed to process your form.  After you have submitted your form, a confirmation email will be sent to you.

CRIMINAL OFFENDER RECORD INFORMATION (CORI)
Under Massachusetts law, all public schools must require a Criminal Offender Record Information (CORI) from employees and volunteers who have direct contact with students. In order to volunteer in the schools, a current CORI form must be on file (CORI checks are good for three years). You can complete a CORI form at any of the schools main office or the Superintendent’s office during office hours. Forms must be returned to school office in person and office personnel will take a copy of your license or other photo ID before submitting your CORI form for approval. Only one completed form is needed for all Hopkinton public schools. More information is available on the district website http://www.hopkinton.k12.ma.us/.

HPTA Volunteers at Center School Library

This year approximately 30 HPTA members have volunteered to help in Center School’s library.

 Lauren Morse, the library volunteer coordinator, says that “due to the abundance of volunteers, most people come in once a month. Many have offered to come in more.”

There are about six shifts per week where the HPTA has volunteers help out. The responsibilities include helping children find the perfect book to take home for the week; helping students with table work; organizing the books kids return; and assisting librarian Mrs. Mello and Mrs. Jennings with
special projects throughout the year.

Our Hopkinton schools need YOU!

If you are considering contributing some of your time and talent as a volunteer at your child’s school, the HPTA has now made it even easier for you to sign up!

Volunteering comes in many different forms, from town-wide HPTA-run programs, school-specific activities, to individual classroom needs.  You can now volunteer through the HPTA website at http://www.hptaonline.com/volunteer.html.  You can choose your preferred activities, and coordinators will match those interests with what the schools need.

Volunteer forms are due FRIDAY, SEPTEMBER 17.  However, if you are not sure of your schedule at this time, volunteer opportunities and the online sign process ongoing throughout the year. Volunteering is fun and extremely rewarding! The HPTA offers many avenues for volunteering in roles that involve a small commitment, to ones that entail leadership responsibilities.

There is something for everyone!  At Elmwood, for example, school-wide opportunities include:
Art Room Assistant, Co-coordinator or member of the Math Tutor Task Force, Library support, and the WEE Deliver mail program.

Special Events include: Faculty appreciation  (donations of food/drink and paper goods), Field Day (an outdoor activity half-day for children), height/weight screening, and playground/grounds cleanup. Individual teachers may also want volunteers to help with reading/comprehension skills, math games , or special projects. Look for these opportunities on your Curriculum Night or ask your child’s teacher.

Volunteering is open to all qualified individuals interested in engaging in their child’s school environment or in helping to ensure the success of programs that support our schools.

You do not need to be an HPTA member to volunteer, but you do need to complete and submit to your school a CORI form. You can get and learn more about this form at your student’s school office.

The HPTA would like to have as many volunteers as possible sign up by September 17.

Volunteers Needed – Genevieve’s Pick-Up

Volunteers needed for Genevieve’s pick up – Thursday, Nov. 19 2-7 pm at the MS cafeteria and Fri, Nov 20 2- 6 pm. Volunteers are needed to assist with passing out the gift wrap and pies that have been previously ordered to parents. If available, contact Jen Blake at ewjfblake@aol.com or 435-7903.

Baskets, Containers and Packing Materials Needed

If you find yourself with extra baskets, decorative containers, and packing peanuts over the holidays, our fabulous Silent Auction basket makers would be happy to have them. Please contact Jackie Potenzone at jackieandcompany@verizon.net or 508-435-6618 to arrange for drop-off or pick-up.
